Job Description:

We are currently seeking a highly experienced and efficient Administrator to join our team in Singapore. The successful candidate will play a crucial role in overseeing day-to-day administrative functions, ensuring the smooth operation of our office, and supporting various departments. The ideal candidate should have a minimum of 7 years of relevant administrative experience.

Responsibilities:

  1. Office Management:
    • Oversee general office operations and ensure a well-organized and efficient working environment.
    • Manage office supplies, equipment, and facilities, coordinating maintenance and repairs as needed.
  2. Calendar and Schedule Management:
    • Coordinate and schedule meetings, appointments, and events for executives and team members.
    • Manage calendars, ensuring timely reminders and coordination of activities.
  3. Communication and Correspondence:
    • Handle incoming and outgoing communications, including emails, phone calls, and official correspondence.
    • Draft and proofread documents, reports, and presentations.
  4. Travel Coordination:
    • Coordinate travel arrangements for employees, including flight bookings, hotel reservations, and travel itineraries.
    • Ensure travel compliance with company policies.
  5. Event Planning:
    • Assist in planning and organizing company events, conferences, and team-building activities.
    • Coordinate logistics and liaise with vendors as necessary.
  6. Record Keeping and Documentation:
    • Maintain accurate and organized records, files, and databases.
    • Assist in document management and version control.
  7. Financial Administration:
    • Assist in processing invoices, expense reports, and financial documentation.
    • Collaborate with the finance department for budget tracking and reporting.
  8. Human Resources Support:
    • Assist in HR-related tasks, including onboarding new employees and maintaining personnel records.
    • Support employee engagement initiatives.

Qualifications:

  • Bachelor's degree in Business Administration, Management, or related field.
  • 7+ years of proven experience in administrative roles.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Detail-oriented with a high level of accuracy.
  • Proactive problem solver with the ability to work independently.
